What can run without you

Catch

Your requests land while you are working, just when you can neither pick up nor reply. Form, message, call: each one gets an answer straight away, and gets written down somewhere instead of vanishing. You take over when you can. The client didn’t wait.

Fill

A calendar fills up badly when every appointment has to go through you. Your clients book for themselves, whenever suits them; the calendar stays current without you keeping it, and reminders go out ahead of time. And where a cancellation really costs you, booking asks for a deposit.

Bring back and prove it

Once the job is done, everyone moves on to the next one: the review never gets asked for, and the client you haven’t seen in a while doesn’t come back on their own. Those follow-ups go out by themselves, at the interval you set, and the review request goes to everybody, not only to the ones you feel sure about. Every month, one page tells you what it produced.

It doesn’t look the same for a tradesperson as for a restaurant.

Trades and construction

You are up on a roof, the phone rings in the van. The assistant picks up, notes the job and the address, texts you the message. And the quote you sent on Tuesday follows itself up the next Monday, as long as nobody has replied.

Restaurant and café

The table is booked from the site, the confirmation goes out within seconds, the reminder the evening before. The day after service, the review request follows. And the party of twelve writing at 10pm on a Sunday has an answer before you open your inbox.

Practice and salon

The patient books online, gets a confirmation, a reminder the day before and one two hours ahead. For long treatments, a deposit at booking. During the appointment, missed calls are taken down, never lost, and no reason for the visit ever travels in a text message.

Shop and cellar

Every order triggers its confirmation and its follow-up without you writing an email. Clients who have not ordered since last season hear about the new arrival. And Saturday’s tasting books itself, with the seats kept up to date.

Office, trustee, property manager

Incoming requests are read, sorted and routed to the right person, with an immediate acknowledgement. Replies that commit you wait for your review. Nothing goes out in your name without a human approving it.

Do the maths with your numbers, not mine.

Count what you keep redoing: the appointment reminders you make one call at a time, the confirmations you retype by hand, the requests you copy into the calendar, the review nobody dares ask for. Multiply the time it takes by the number of times a month, and you have your number, not mine. I run that calculation in the plan, in hours per month and on your real volumes, before we install anything. On the other side there is the price of the system and of the monitoring that comes with it, right below. Put a single recovered request per month against that, and you will know whether it is worth it. Your website opens the door, what runs behind it decides what comes through.

Once installed, a system is not left alone: logs, alerts, fixes and a one-page report every month. That is the Automations subscription, from CHF 150 a month, three months minimum.

Your data stays in Switzerland

The system runs on a Swiss server I look after myself, not in an American provider’s cloud. Your clients’ details, their appointments, their messages: it all stays here. Every third-party tool I connect is covered by a data processing agreement, and I tell you which one does what.

  • Hosted in Switzerland, nFADP-compliant: I remain the processor, you remain responsible for your data, and the contract says so in writing.

  • An instance that belongs to you alone, never an engine shared between clients: your data crosses nobody else’s.

  • Everything the system sends is logged: you can read back what went out, to whom, and when.

What the AI touches in your business, and what it never will

Out of everything I install, only three systems read and write: the phone assistant, the request sorting, and the draft reply waiting for your review. The rest is simple, dependable plumbing, and that is exactly right. I tell you which is which before installing, and I also tell you where I will not put any: a process that is already broken does not get fixed by a robot.

  • What it does, system by system: the phone assistant answers the calls you cannot take and says in its first sentence that it is automated; the sorting reads the requests coming in by email and through the form, files them and routes them to the right person; the draft reply writes and stops there, you are the one who sends. None of the three decides anything that commits your business.

  • Who watches it: me. Every call and every send leaves a trace I read back, and I do not take on more systems than I can read back. The phone assistant never dials a number by itself: it answers incoming calls, the law requires it and I agree with the law.

  • When it goes off the rails: the alert reaches me before it costs you a request. The phone assistant falls back to the simple message, the one saying you will call back; the sorting leaves the request in your inbox rather than filing it wrong. I fix it, and nothing stays broken in silence.

Thirty minutes, and you will know where your requests are going.

You write to me, I answer within 24 to 48 hours with two or three slots. We talk for half an hour, by phone or video, and I tell you straight whether there is anything worth installing at your place. If the answer is no, you owe me nothing and I say it anyway.
